It lets organisers print professional name badges instantly using compact thermal printers and pre-designed card templates. How CrowdBadge Works

Upload or Manage Your Guest List

Import your guest list as a CSV or spreadsheet. The file must include at least a first name and surname, with optional fields to suit your event's needs, including company name, table number, and pass type. Your list can be adjusted and updated right up to the moment registration opens.

Pre-Design Your Badges

Our team will work with you to produce professionally printed badge cards for your event. Each card is printed in advance on 400 gsm recyclable stock, pre-punched and fully branded with your event design. The layout includes a dedicated blank space sized precisely for a 4 × 2 inch (100 × 50 mm) or 4 × 4 inch (100 × 100 mm) label. These cards are delivered ready for use on the day.

Print Adhesive Labels On Site

During registration, search for an attendee's name and print their label instantly. Each label can display the attendee's name, company, job title, and a unique, scannable QR code, along with any custom fields you choose to include. Labels are printed using compact thermal printers - CrowdBadge supports most low-cost models such as Zebra or Vretti - making setup quick and affordable. Peel and stick the label onto the pre-printed card badge for a clean, professional finish. Each QR code links directly to the attendee record within CrowdBadge, ensuring every badge is unique and traceable.

Scanning & Check-In

Event organisers can create virtual scanners within CrowdBadge - no extra hardware required. Any smartphone with a camera can be used to scan attendee QR codes, record check-ins, and track entry to sessions or zones. For higher-volume setups, we can supply low-cost handheld infrared scanners or Android tablets with built-in scanners. Scanning can also be opened up to exhibitors or partners for lead capture. They simply scan an attendee's badge using their own device - no app, no download - and later export their collected leads directly from CrowdBadge.

Post-Event Data Export

After the event, all scanning and check-in data can be exported as a CSV file. Exports are available from each individual scanner or as a combined dataset, including every captured field, custom field, and timestamp. This makes it easy to analyse attendance patterns, measure engagement, or share leads with exhibitors and sponsors.
